The first step to reducing absence is effective monitoring. All employees should be asked to explain their absence (even for short absences). Self certification, for absence of less than seven days, should be provided by the employee. Medical certificates (doctor's letters) should be obtained for longer periods.

Absence levels can be reduced by the simple process of monitoring the absence. Monitoring ensures employees are aware that absence is taken seriously. The initial information received from an employee (either by self certification, or confirmation of the details provided by their doctor) can also provide a basis for further discussion with the employee. Furthermore, trends can be identified that may highlight issues such as recurrent or excessive absence.

Management reports highlight trends and patterns across an organisation (or across departments). Details can be drilled down to report on, for example, individual employee sickness, employees who have taken the most amount of sickness, or all employees who have taken sickness for a particular reason within a timeframe.

Investigate the reasons for sickness absence with return to work interviews. The system includes recommended questions to ask employees returning from work after a period of absence.

Drill-down facilities allow reports to be analysed in more detail. The graph above shows a bar-chart of sickness absence for the current year to date by month.

A variety of graph options are available, with customisable report parameters. The above graph shows a breakdown of sickness levels by department. Similar reports are available that highlight average sickness absence levels by department, with trend analysis and comparison with previous periods.
